Authorised staff, students and affiliates of Curtin can contribute their research output to espace@Curtin.
Research output must have at least one Curtin affiliated author. Research by visiting or adjunct academic staff will also be accepted, provided the research is related to the visiting academic status and reflects Curtin's involvement.
Students will usually be postgraduate research students, but can also be undergraduates, where those students are working in conjunction with academic staff on specific research and publications. The research must have been performed as a student of Curtin.
Curtin postgraduate students enrolled in a higher degree by research and who commenced on or after January 2005 must submit their theses electronically for inclusion in the espace@Curtin institutional research repository. Students enrolled prior to January 2005 are also encouraged to submit their theses electronically. More information on submission of digital theses.
- espace can enhance the value and impact of your research by making it more visible and freely accessible world wide. Research output in espace is exposed to search software that collects data about the items and makes it available through open access services such as Google, Trove and OAIster (a world wide catalog of digital resources). The global scholarly community can then access and cite your material in a timely way, providing the potential to increase your citation statistics.
Even when research output is published in print or electronic publications, access can be delayed, limited or blocked by licenses, passwords, costs or other restrictions. Material in the public domain can still be difficult (or expensive) to obtain easily, limiting its academic or scientific impact and reducing the associated scholarly or social benefits.
- espace archives and preserves your research output in a secure, digital environment. Each item in the repository has a unique persistent URL providing a stable, preserved link to citation information about your research and access to the full text. You can use this URL on departmental or other websites, resumes etc.
- espace provides download and usage statistics for material in the repository. You can see how many times an item's metadata (bibliographic information such as author, title, publication date etc) is viewed and how many times an open access publication is downloaded.
- espace enables researchers to meet recommendations of funding bodies, including ARC and NHMRC, to deposit research publications in an institutional or subject-based repository.
Research output of Curtin staff, students and affiliates can be included in espace@Curtin. This includes:
- Journal articles
- Conference papers
- Newspaper or magazine articles
- Book chapters
- Books
- Technical reports
- Research papers/reports
- Discussion papers
- Working papers
- Theses (as submitted by the student to the Library)
- Computer programs
- Datasets
espace@Curtin provides bibliographic details (metadata) such as author, title, publication date, abstract, etc. about material in the repository and, where copyright permissions allow, the full text of items are also available. You can contribute research output to espace in the following ways, depending on the type of material you are depositing.
1. Contribute your research output (books, book chapters, journal articles, conference publications, creative works, etc) via Curtin's SCRIPT database.

SCRIPT is the information management system of Curtin's Office of Research and Development and it is currently used to manage Curtin's consulting and publication activities and reports on research funding.
The database is only available to authorised Curtin staff and students. To gain access to SCRIPT you will need to complete an application form. A Quick Reference Guide has been developed to assist you to use the SCRIPT Publications module.
- When entering information about your research output to SCRIPT, you will be prompted to upload an electronic copy of your research output for inclusion in espace@Curtin. The preferred copy of research output for espace is your personal version of the postprint of your paper as this is the version that most publishers grant permission to deposit in institutional repositories. (A postprint is the final version of an academic or research paper which has been accepted for publication by a journal or conference. The paper may have been accepted for publication as submitted without change after the peer review process or after changes were made as a result of the peer review process.) In cases where the publisher permits open access to the published version, the Library will arrange this.
- Currently, material can be deposited in any of the following formats:
- PDF
- HTML
- Microsoft Word
- Microsoft Excel
- Powerpoint
- Video files
Library staff will convert text documents to PDF format.
- Once you have entered the required information in SCRIPT and uploaded a copy of your research output into SCRIPT, the information will transfer overnight to the espace@Curtin database maintained by Curtin Library. Library staff will check that bibliographic details are correct and that the uploaded file opens successfully.
- At this point, you need to complete an espace@Curtin Client Agreement Form to enable the Library to make the full text of your research paper freely available in espace. If you have not previously provided a signed agreement form, Library staff will contact you to progress this. The form only needs to be completed once - the first time you contribute to the repository. You can fax or post the completed form to the Library or send a scanned copy attached to an email. Further details are provided on the form itself.
- Library staff will check publisher permissions as appropriate and include any required publisher attributions. This may require correspondence with the publisher or related parties. Occasionally staff may email you for further information. When these checks have been carried out, the material is made accessible on espace@Curtin with open access wherever possible.
2. Contribute your digital thesis via submission to the Library.
Digital theses should be deposited to the Library as required by the University. The theses will then automatically be included in espace@Curtin. More information on submission of digital theses.
3. Contribute material that falls outside the scope of SCRIPT and digital thesis submission to the Library by contacting the Library directly.
Any material that falls outside the scope of SCRIPT and thesis submission will need to be forwarded directly to the Library. Please email library-espace@curtin.edu.au to progress this.
The full text of research is included in espace@Curtin only if:
- The author retains the copyright for the material and allows it to be included in espace; or
- The copyright agreement between the publisher and the author allows for deposit into an institutional repository, or
- Permission to deposit the paper in espace has been granted by the publisher on request.
In many cases, publisher policies will allow full text to be accessible through institutional repositories. Some publishers may not allow the use of the published version but may allow authors to make the author final version available (the postprint).
Can material that has been published elsewhere be included in espace@Curtin?
If a journal article has previously been published in an established journal, the author may have been required to assign the copyright to the publisher as a condition of acceptance.
In the case of articles deposited in espace, Library staff take on the task of checking publishers' standard policies to see if they allow re-use of materials through placement in an institutional repository. In addition, the Library ascertains which version of the document - postprint or published - is permitted to be deposited as open access, and includes the publishers' attribution in the metadata.
The same issue can arise with conference papers, book chapters, etc. When authors submit papers for a conference it may be a condition of acceptance that they assign the copyright in the papers to the conference organisers. Copyright in book chapters etc may similarly be assigned to the publisher. In such instances, permission may be required from the conference organisers or publishers to include the material in espace.
What if the material deposited contains copyright protected materials?
Before placing articles, conference papers etc. into an online repository or personal web page, authors should check whether the article/paper contains materials (such as graphics, artwork, diagrams, etc.) in which the copyright is held by a third-party. If the article/paper does contain such copyright-protected material, the author will normally need to obtain permission from the copyright owner to publish it online.
In the case of articles to be deposited in espace@Curtin, Curtin staff are required to sign a one-off declaration stating that they have obtained any necessary copyright clearance for the articles they contribute.
